Policies and Regulations

ADMISSIONS POLICY

Active Language Learning welcomes learners of all proficiency levels, from A1 to C2, to its English Language programmes. These programmes cater to individuals learning English as a second or additional language and are not intended for native English speakers.

If a student faces challenges such as dyslexia, ADHD, or a disability like a visual or hearing impairment, they are encouraged to contact the Academic Manager to discuss support options for their language course.

Each student will meet with the Academic Manager at the start of their course to establish an individual learning plan, setting goals to ensure successful engagement with the programme.

CANCELLATION AND REFUND POLICY

Course cancellations due to COVID-19 or other global restrictions are addressed on a case-by-case basis. Options include rescheduling, a six-month valid course voucher, or immediate online course continuation. Full refunds for accommodation are provided unless cancellations occur post-arrival, in which case pro-rata accommodation fee deductions apply.

Non-COVID-19-related cancellations must be communicated in writing to the Director. Refunds, subject to approval, are processed within 10 working days.

Cancellation fees are as follows: €75 administration fee (plus an additional €95 for accommodation cancellations) for cancellations up to 2 weeks before the course starts; 50% refund for cancellations 1-7 days prior; no refund for cancellations after course commencement, including late arrivals or early departures.

24 hours' notice is required for individual lesson cancellation without charge; less notice incurs the full charge. A €200 fee applies for visa refusal cancellations (documentary evidence required), with the remainder of course fees refunded.

Accommodation cancellations post-arrival are non-refundable.

COURSE WITHDRAWALS

Withdrawals must be communicated in writing. Post-arrival withdrawals require notification to the Managing Director or Academic Manager.

SICK LEAVE POLICY

For illness or injury during a course, notify the school on the first day of absence (academic@all.ie) and daily thereafter. A doctor's letter is required upon return; unverified sick leave is considered absence. Failure to follow these steps for absences exceeding three days triggers our absenteeism policy.

PUNCTUALITY AND ATTENDANCE POLICY

Late arrival over 15 minutes means waiting for the next class to join. Attendance is recorded for attended classes only, not for holidays or sick leave. Attendance below 85% may lead to warnings or expulsion. Persistent lateness affects the final attendance percentage.

PROTECTION FOR ENROLLED LEARNERS POLICY

As part of a select group with ILEP approval, ALL offers course completion at no extra cost at another designated school in case of our inability to fulfil a programme.

MEDICAL INSURANCE POLICY

EU students are advised to obtain an E111 card for equivalent public medical cover. Non-EU students should arrange medical insurance prior to arrival, available through Study & Protect (https://studyandprotect.com/). Queries can be directed to our reception (reception@all.ie).

HOLIDAYS AND BREAKS POLICY

From October 2015, study visa students are limited to breaks as per the academic calendar, barring exceptional circumstances. Unplanned breaks require a written application to the Academic Manager (academic@all.ie).

EXTERNAL END-OF-PROGRAMME EXAMS POLICY

Regular assessments guide students towards external exams, mandatory for long-term visa students. Cambridge ESOL and IELTS exams are available, with guidance from the Academic Manager.

COMPLAINTS AND GRIEVANCES POLICY

Confidential handling of complaints, including class or accommodation issues, follows a defined process: informal resolution attempt, formal record, Academic Manager intervention, escalation to school owners, and potential sector-independent consultation.

ABSENTEEISM AND EXPULSION POLICY

Three-day unexplained absences prompt contact, followed by a warning and potential expulsion for continued uncertified absences exceeding two weeks.

GENERAL DATA PROTECTION REGULATION POLICY
